    What you'll learn

    • Turn a large request into requirements, a page plan and an order of work that won't force rework
    • Build a 25-page workbook from your own .dotx template with numbered units, citations, footnotes, an index and a table of figures
    • Add a fillable, protected worksheet and a linked Excel table, and decide when to freeze the link
    • Clean pasted text with Find and Replace and merge name certificates from a recipient list
    • Run a final QA pass and deliver a tagged PDF and merged certificates that someone else can reproduce next term

In this level each tutorial gave you one professional tool: outlines and multilevel numbering, a template with a style system, citations, an index, fields and mail merge, content controls, linked Excel data and wildcard search. A real long document uses all of them at once, and they affect each other. Index entries change page numbers. A protected form blocks edits elsewhere. A linked table breaks when someone moves a folder. This project is where you learn those interactions.

The Tutoring Club needs a 25-page Course Workbook for its fall math and reading program, plus a name certificate for every student who finishes it. You will plan it, build it in three stages from your own template, run a QA pass, deliver it and score it with a rubric. Each stage links to the tutorial in this level that taught the skill.

    The project brief

Here is the request from the program lead: "We're running a 12-week math and reading program this fall. Volunteers keep pasting lessons into different files with different looks. Can you make one workbook with all three units, exercises, a glossary and our sources? Kids should be able to fill in the worksheets on the center's laptops. We also want to show attendance and quiz averages from our Excel tracker, and hand out certificates at the end. And next term, someone else has to be able to do this without you."

The last sentence matters most. It means the result is not only a document but a system: a template, data files and notes another volunteer can use. Turn the request into checkable requirements:

RequirementWhy the workbook needs itSkill from
Start from your own .dotx template with a named style system (theme fonts and colors, Heading 1 to 3, Normal, Caption, Exercise, Key Term)Every volunteer gets the same look; next term starts from the template, not from an old workbookTutorial 2; Key Term style: Tutorial 8

QA (update all fields, check links, accessibility check), then a tagged PDF of the workbook and the merged certificatesWhat families get is current, readable and accessibleTutorial 4, Tutorial 7, Intermediate Tutorial 8

The example file above holds the raw content: unit text and exercises pasted from volunteers' notes (with the mess that pasting brings), the sources as plain lines, the glossary terms, the worksheet labels, a small score table and the recipient names for the certificates. You don't write the lessons; you build the system around them.

    Plan the workbook

At 25 pages, a wrong early decision costs hours. Typing Unit 2 by hand means renumbering every heading when a unit is added. Pasting the score table as a picture means retyping it when the scores change. Protecting the whole workbook for forms means nobody can fix a typo. Plan three things before you open Word.

    1. The page plan. Front matter uses lowercase roman numbers so that Unit 1 starts on page 1. Your page count may differ by a page or two.

    File pagesContentBuilt withPage number
1Cover: program name, term, club logoTemplate cover pageNone

    25IndexIndex field, two columns21
Separate fileName certificates, one per studentMail merge from the trackerNone

    2. The style system. Decide every style before you paste a word, and write it down: theme fonts (heading and body), three theme colors, Normal, Heading 1 (unit), Heading 2 (section), Heading 3 (exercise set), Caption, and two custom styles, Exercise (a numbered paragraph style for questions) and Key Term (a character style for glossary words). Custom styles are what make the cleanup and index steps fast later: you can find and replace by style and mark every key term in one pass.

    3. The order of work. Some features depend on others, so the order is not a matter of taste:

    OrderStepWhy it comes here
1Template and style systemEverything after it uses these styles
2Paste the raw text, then clean itCleaning before styling means you style real paragraphs, not empty ones and line breaks
3Multilevel numbering and the TOCNeeds clean headings; the outline must be final before references point to it
4Citations, footnotes, captions, index entriesThey attach to text that will no longer move between units
5Worksheet, linked table, certificatesSelf-contained parts, added once the structure is stable
6Table of figures, index, bibliography, QAThese are generated last because they collect everything above

    Before

    • Typed unit number and "2)"
    • Empty paragraphs and line breaks from pasting
    • Typed citation and page number

    After

    • Numbers come from the linked list
    • Citation from the source list
    • Cross-references update with F9
Planned structure: generated numbers, citations and cross-references instead of typed ones.

Stage 1: Template, cleanup and structure

Stage 1 produces a clean, numbered skeleton inside a document based on your template. When it's done, the Navigation pane shows Unit 1 to Unit 3 with their numbered sections, and page 2 lists them.

    Build the template (Tutorial 2).

    1. Start a blank document. Set the theme fonts with Design then Document Formatting then Fonts then Customize Fonts and the colors with Design then Document Formatting then Colors then Customize Colors. Name both Tutoring Club.
    2. Modify Normal, Heading 1 to 3 and Caption, then create Exercise and Key Term. Use theme fonts and colors in each style, not fixed ones, so a later theme change carries through.
    3. Add the cover page, the header and footer with page number fields, and section breaks for the front matter, with roman numbering in Section 1 and numbering restarting at 1 in Section 2.
    4. Put short placeholder text where content goes, such as [Unit title], and save with File then Save As as Word Template (*.dotx) in your project folder. Then create the workbook from it by double-clicking the .dotx file, which opens a new document based on it.

Paste and clean (Tutorial 8). Copy the raw content from the practice file and paste it into the new workbook with Ctrl+Shift+V (Keep Text Only), so the volunteers' fonts don't come along. Then open Home then Editing then Replace (Ctrl+H), click More and run these replacements in order. Use Find Next and Replace a few times before Replace All, and check the result each time.

Problem in the pasted textFind whatReplace withSettings
Line breaks in the middle of sentences^la spaceNo wildcards
Empty paragraphs used as spacing^p^p^pNo wildcards; run Replace All until Word finds no more
Two or more spaces in a row {2,} (a space before the brace)a spaceUse wildcards
Typed numbers like 2) at the start of exercises(^13)[0-9]{1,2}\) \1Use wildcards; ^13 stands for the paragraph mark
Typed unit labels like UNIT 1 - before unit titlesUNIT [0-9]{1,2} - nothingUse wildcards; otherwise the linked list adds its own number and the heading reads Unit 1 UNIT 1 - ...
Exercise lines still in NormalExercise: and the space after itnothing, with Format then Style then ExerciseNo wildcards; the replace applies the style

Number the units (Tutorial 1). Apply Heading 1 to the three unit titles and the back matter titles, Heading 2 to sections and Heading 3 to exercise sets. Then click in the first Heading 1 and open Home then Paragraph then Multilevel List then Define New Multilevel List, and click More:

    • Level 1: in Link level to style choose Heading 1, and in the number format box type Unit before the number.
    • Level 2: link it to Heading 2, use Include level number from Level 1, then type a period, so it reads 1.1.
    • Level 3: link it to Heading 3 or leave it unnumbered if exercise sets don't need numbers.

The back matter (Progress record, Glossary, References, Index) also uses Heading 1, but it shouldn't say Unit 4. Give those headings a separate style based on Heading 1 with no numbering, set to outline level 1, so they still appear in the contents.

Home then Paragraph then Multilevel List. Define the list once and link each level to a heading style; the numbers then travel with the headings.

Insert the contents. On page 2, choose References then Table of Contents then Custom Table of Contents and set Show levels to 2, so exercise sets don't crowd the list. Check the Navigation pane: drag 1.3 above 1.2 and back again, and watch the numbers follow. If they do, Stage 1 is done.

    • Unit and section numbers from the linked list
    • Back matter without unit numbers
    • Roman page number in front matter
The contents after Stage 1: numbered units, two levels and back matter that is not numbered as a unit.

Stage 2: Sources, notes, index and figures

Stage 2 adds the reference layer: where ideas come from, side notes, figure captions and the terms students will look up. All of it is fields, so it can be regenerated, but only if you insert it with the tools instead of typing it.

Cite the sources (Tutorial 3). Pick the style first with References then Citations & Bibliography then Style (the club uses APA). Then, at each place the practice file marks [cite: ...], delete the marker and choose References then Citations & Bibliography then Insert Citation then Add New Source. Enter at least three sources from the Sources list in the practice file. Once a source exists, insert it again from the Insert Citation list instead of adding it twice. Use References then Citations & Bibliography then Manage Sources to check for duplicates and typos.

References then Citations & Bibliography then Insert Citation. Each citation is linked to a source record, so the bibliography and the citation format stay consistent.

Add footnotes. At each [footnote: ...] marker, use References then Footnotes then Insert Footnote (Ctrl+Alt+F) and move the marker text into the note. Footnotes are for short side comments, such as also called central idea in the school curriculum. Sources go in citations, not footnotes, so the bibliography stays complete.

Caption the figures, then mark the index (Tutorial 4).

    1. Caption each figure with References then Captions then Insert Caption and the label Figure. Tick Include chapter number only if you want Figure 2-1; the club keeps plain Figure 4.
    2. Format each glossary word with the Key Term style where it is first explained in a unit.
    3. Select a key term and choose References then Index then Mark Entry (Alt+Shift+X). Click Mark All to mark the first exact, case-matching match in each paragraph, or Mark to mark only this one. Add a subentry for terms that need it, such as fraction with equivalent and improper.
    4. On the List of figures page, choose References then Captions then Insert Table of Figures with caption label Figure. On the last page, choose References then Index then Insert Index and keep two columns.

Insert the bibliography last. On the References page, choose References then Citations & Bibliography then Bibliography then References. It lists every source in the document's Current List, cited or not, in the order the chosen style uses (alphabetical by author for APA). So first open References then Citations & Bibliography then Manage Sources and delete any source you didn't cite from the Current List. If you add a citation later, click the bibliography and choose Update Citations and Bibliography on its tab.

Stage 3: Worksheet, data and certificates

Stage 3 adds the three parts that connect the workbook to people and data. Each one comes with a decision about who can change what.

Build the fillable worksheet (Tutorial 6). Turn on the Developer tab with File then Options then Customize Ribbon and tick Developer. Using the worksheet labels in the practice file, insert one control per answer from the Controls group:

Label in the practice fileControlProperties to set
NamePlain TextTitle Student name; tick Content control cannot be deleted
DateDate PickerTitle Worksheet date; a date format such as MMMM d, yyyy
Which passage did you read?Drop-Down ListTitle; choices The Library Garden, Bus 12, The Science Fair
Main idea (in your own words)Plain Text or Rich TextTitle; tick Allow carriage returns for a Plain Text control if answers need more than one line
Which details support it? (tick all that apply)Check Box, one per detailTitle for each, for example Detail 1
I checked my answer with a partnerCheck BoxTitle

Give every control a Title in Developer then Controls then Properties. Screen readers announce it, and the Accessibility Checker looks for it. Then protect the worksheet: select the whole worksheet and choose Developer then Controls then Group then Group. If you want a password, use Review then Protect then Restrict Editing instead: tick Allow only this type of editing in the document, choose No changes (Read only), select the controls (hold Ctrl to select several), tick Everyone under Exceptions and click Yes, Start Enforcing Protection. Don't use Filling in forms here; it was designed for legacy form fields, not content controls.

    • Plain Text, Date Picker, Drop-Down and Check Box controls
    • Each control has a title
    • Protected: only the controls can change
The fillable worksheet: students can only type in or pick from the controls.

Link the progress table (Tutorial 7). In the tracker workbook, the Units sheet shows one row per unit: sessions held, average attendance and average quiz score. It shows class averages, not individual students, because the workbook goes to every family. Copy the range in Excel. In Word, on the Progress record page, paste and choose Link & Use Destination Styles from the Paste Options button (or use Home then Clipboard then Paste then Paste Special, select Paste link and HTML Format). Either way you get a real Word table that takes your table style, so it stays a table screen readers can read after you break the link. Microsoft Excel Worksheet Object isn't recommended here: it pastes an object instead of a table, and breaking its link leaves a picture. Give the table a caption and update it with right-click, Update Link, after the scores change.

Decide how to freeze it. At the end of the term the numbers stop changing, and you must choose what the delivered copy holds:

    ChoiceGood whenTrade-off
Keep linkedThe .docx stays in use: mid-term updates, or the template copy you hand to next term's volunteerWord asks about updating links when the file opens; the link breaks if the tracker is renamed or moved; readers without the tracker see the last saved values
Break the link (File then Info then Edit Links to Files then Break Link)The final archived .docx: numbers are final and should stay a real, accessible tableNo more updates; if a score was wrong, you fix it by hand or paste it again
Paste as picture (Paste Special then Picture (Enhanced Metafile))A snapshot that must look exactly like the spreadsheet, such as in a printed reportNot editable and not readable as a table by screen readers; it needs alt text that gives the numbers

For this project: keep the link in your working copy until the last update, then make the delivery copy with the link broken, so the PDF and the archived .docx show final, readable numbers. Write the choice in your handoff notes.

Merge the certificates (Tutorial 5). Create a new landscape document from your template for the certificate. Then:

    1. Mailings then Start Mail Merge then Start Mail Merge then Letters, then Mailings then Start Mail Merge then Select Recipients then Use an Existing List and pick the Certificates sheet of the tracker.
    2. Use Mailings then Start Mail Merge then Edit Recipient List to untick students who didn't complete the program, or filter on the Completed column.
    3. Place FirstName, LastName and Units with Mailings then Write & Insert Fields then Insert Merge Field.
    4. Click Mailings then Preview Results then Preview Results and step through several records, including the longest name, so nothing wraps onto a second line.
    5. Finish with Mailings then Finish then Finish & Merge then Edit Individual Documents, choose All, and save the result as Certificates - Fall 2026.docx.
Mailings then Preview Results then Preview Results shows each student's data in place of the fields. Step through the records with the arrows next to it before you finish the merge.
    • Merge fields from the Certificates sheet
    • Landscape page from the template
The certificate main document before the merge. Preview Results replaces each field with a student's data.

    QA and deliver

A long document is only as current as its last field update. Run this QA pass on the working copy, in this order, and repeat it after any late change.

    1. Hide formatting marks. Turn off Show/Hide (Ctrl+Shift+8) so hidden index fields don't change the page numbers.
    2. Update the links. Open File then Info then Edit Links to Files. Check that each source points to the tracker in your project folder, click Update Now, then break the link in the delivery copy if that is your decision.
    3. Update all fields. Press Ctrl+A, then F9. Choose Update entire table when Word asks about the contents and the table of figures. Click the bibliography and update it too. Then check that cross-references still point to the right pages.
    4. Check the structure. In the Navigation pane, units are numbered 1 to 3 and back matter has no unit number. In View then Zoom then Multiple Pages, roman numbers end before Unit 1 starts at 1.
    5. Check accessibility. Run Review then Accessibility then Check Accessibility. Typical findings in this project: a content control or table without a title, a picture without alt text, a table without a header row. Fix each one until the status bar says Accessibility: Good to go, and set File then Info then Properties then Title.
    6. Inspect. Run File then Info then Check for Issues then Inspect Document on the delivery copy to remove comments and personal information.

    Deliver three things:

    DeliverableForHow
Course Workbook - Fall 2026.pdf, taggedFamilies and printingFile then Export then Create PDF/XPS Document then Create PDF/XPS, Options: tick Document structure tags for accessibility and Create bookmarks using Headings

Open each PDF and click through it: bookmarks show the units, the index page numbers land on the right pages and the certificates have no blank pages between them. Fix anything in Word and export again.

    Score it with the rubric

Score the workbook before you deliver it, and ask the volunteer who will run next term to score it too. Give each row 0, 1 or 2 points.

    Practice

    Practice

Build the Fall 2026 Course Workbook

    Guided practice

Download the example file above. It holds the raw workbook content with no structure: three units of lesson text and exercises pasted from volunteers' notes, footnote and citation markers, the sources as plain lines, the glossary terms, the worksheet labels, a small unit score table and the certificate recipient list. Put the score table and the recipient list into an Excel tracker first, since that is where the linked table and the merge read from.

    1. Set up: make the project folder, create Program Tracker - Fall 2026.xlsx with a Units sheet and a Certificates sheet from the tables at the end of the practice file, and write your page plan and style system on paper.
    2. Template: build Course Workbook.dotx with theme fonts and colors, all planned styles, a cover, front matter section and page numbering. Create the workbook from it.
    3. Clean: paste the content as text only and run the Find and Replace pass, including the three wildcard patterns.
    4. Structure: apply heading styles, define the multilevel list linked to Heading 1 and 2, give back matter an unnumbered heading style and insert the contents.
    5. References: insert at least 3 citations, the footnotes, figure captions and index entries for every glossary term; generate the table of figures, the index and the bibliography.
    6. Worksheet and data: build the worksheet with titled controls in a separate protected file, link the Units table on the Progress record page and decide how to freeze it.
    7. Certificates: merge certificates for completing students from the tracker and check them in the merged file.
    8. QA and deliver: run the QA pass, export the tagged workbook PDF and the certificates PDF, then score everything with the rubric.

Independent challenge: Hand it off for next term

The real test of a document system is whether someone else can run it. Give another volunteer only the project folder: the .dotx template, the tracker workbook with next term's names and empty scores, and the worksheet file. Ask them to produce next term's workbook and certificates without asking you anything. Sit nearby and write down every time they get stuck, then turn those notes into a one-page Handoff notes document in the folder. Most volunteers need the same things: where to save the .dotx so it appears in File then New then Personal, how to point the linked table and the merge at the new tracker (File then Info then Edit Links to Files then Change Source and Mailings then Select Recipients), how the worksheet is protected (Group, or the password if you used Restrict Editing), and the order of the QA pass. Fix the template wherever a note says this was confusing, for example with clearer placeholder text.

Reflect: which part of your system did the other volunteer need you to explain, and how could the template or the folder explain it instead?

Check your understanding0 of 4 correct

Pick an answer to see whether it's right and why.

    1. You paste 25 pages of volunteer notes and need to apply heading styles and numbering. What should you do first?

    2. The worksheet must be fillable on the laptops, but volunteers still need to edit the rest of the workbook. What is the best setup?

    3. The term is over and the attendance and score averages are final. What should the delivered workbook contain?

    4. After marking 40 index entries, the index in your PDF points one page too late for many terms. What most likely happened?

You're ready to move on when

Tick each one off as you go. Your ticks are saved in this browser only.
